The rule of thumb
If you will use four or five apps or more across most of your team, Zoho One is usually worth pricing. If you need two or three apps, or only a few people need most apps, individual licences are often simpler and cheaper.
What to compare
| Question | Points to Zoho One | Points to individual apps |
|---|---|---|
| How many apps? | Four or five or more | One to three |
| Who uses them? | Most employees use several apps | Small groups use one app each |
| Growth plans | Expanding into HR, finance and operations | Focused on one function for now |
| Administration | One admin panel and single sign-on matter | Separate admins are fine |
Licensing models
Zoho One is offered on an all-employee model and a flexible-user model, and pricing varies by country and billing cycle. Because prices change, we check current options for your country before recommending one.
Buying Zoho One doesn't mean rolling out everything
The most common mistake with Zoho One is switching on too many apps at once. We start with two or three core apps, usually Zoho CRM and Zoho Books, and add more once they are in daily use.
